About the Role:
As a Corporate Paralegal and Equity Administrator, reporting to the Vice President of Legal, you’ll play a key role in supporting our corporate governance and global equity programs. You’ll help keep our legal and equity operations running smoothly, accurately, and efficiently, partnering closely with Legal, Finance, People, and external stakeholders in a fast-growing, global organisation.
The ideal candidate brings strong attention to detail, a proactive mindset, and the ability to balance structure with agility. You’re comfortable working with sensitive information, navigating complex processes, and using your judgment to keep things moving forward—while continuously looking for smarter, more efficient ways to work.
What You’ll Do:
- Own and manage the company’s global equity programs, including complex structures such as:
- share issuances and repurchases
- phantom equity arrangements
- actual share subscriptions and related documentation
- Act as the primary operational point of contact for equity matters, liaising with:
- equity holders and shareholders
- internal stakeholders (Legal, Finance, HR, Payroll)
- external advisors and administrators, as needed
- Maintain accurate equity records and trackers, ensuring data integrity, audit readiness, and clear reporting.
- Support end-to-end execution of equity-related transactions, including coordination of approvals, documentation, and filings.
- Manage Legal team budgeting, invoicing, and billing processes, including:
- tracking external legal spend
- reviewing and processing invoices
- supporting budget planning and reporting
- Take ownership of legal operations and administrative workflows, identifying opportunities to streamline processes and improve efficiency.
- Prepare materials, trackers, and summaries for senior stakeholders, including Legal leadership and Finance.
- Proactively identify risks, gaps, or process improvements and drive solutions independently, with minimal supervision.
What You Need to Succeed
- Proven experience managing complex equity programs in-house or in a legal / corporate environment.
- Strong understanding of equity mechanics, documentation, and stakeholder management.
- Highly proactive, independent, and detail-oriented, with the ability to run workstreams end-to-end.
- Comfortable operating at the intersection of Legal, Finance, and HR, with confidence engaging senior stakeholders.
- Experience with budgeting, invoicing, and legal billing in a fast-paced environment.
- Strong organisational skills and the ability to manage multiple priorities with sound judgment.
